Unilever Payroll - Communication Plan

The project communication plan aims to ensure that all relevant people are kept up to date with progress; are consulted when necessary and are given the chance to contribute if they wish.

Communities

The following communities, or audiences, were identified:

bulletPayroll Owners - those strategically responsible for payroll at each Unilever operating company (OpCo) or site
bulletHR Community - the peoplelink programme had established a group of key contacts who represented each OpCo HR organisation
bulletPayroll Key Contacts - the people who knew the details of local payrolls (typically payroll supervisors)
bulletPayroll Operatives - anyone else working in Unilever payrolls (and whose job may be impacted by the project)
bulletProject Board - strategic project governance
bulletProject Team - day-to-day members of the team
bulletStakeholders - senior managers with an interest in successful outcome, although not directly involved in the project
bulletManagement - general senior manager interest. For instance, directors in OpCo's
bulletOverseas - interests from Unilever abroad

Intranet

For a relatively small investment, an intranet site was also created. This allowed us to publish documents which could be quickly accessed by any of the communities. The site was also taken a stage further with some bespoke functionality allowing project issues to be registered and their status be monitored.

The intranet site proved to be a very effective tool and contributed enormously to the success of the project.

Information List

A list was also created which tried to predict certain events, and the communication that would be required at that point.

The list detailed an event; who would provide information; the communities interested in the information; the frequency of the provision; whether the information could be accessed from the intranet site and the method of providing the information. Click here to see the list.
